Are you a highly organised and proactive professional looking for a varied role within a specialist medical environment?

We are seeking a dedicated Medical Secretary to provide comprehensive administrative and secretarial support to three specialists within a busy medical practice. This is a dynamic position where your attention to detail, time management and ability to work autonomously will be key to ensuring smooth day-to-day operations.

About the Practice

Our client is an established specialist medical practice based in Canterbury, providing private specialist services across a range of complex conditions and procedures.

The practice brings together a multidisciplinary team of specialists, supported by a range of allied health services, to provide a high standard of clinical care for patients.

The team works closely with private hospitals, anaesthetists, nurses and other healthcare professionals to provide a high standard of care and a seamless experience for patients.

Key Responsibilities

  • Specialist Support: Provide dedicated administrative and secretarial support to three specialists, managing correspondence, diaries and daily priorities.

  • Patient Coordination: Manage appointments across three specialists’ clinics and theatre lists, liaising with anaesthetists, nurses, hospital staff and patients.

  • Theatre Bookings: Coordinate theatre and day surgery bookings, and prepare operation packs and required patient documentation.

  • Consultations & Correspondence: Prepare specialist letters and reports to referring GPs, and communicate with patients regarding consultations and scheduling.

  • Administration: Maintain patient files, manage clinic and procedure invoicing, and ensure effective email communication with relevant parties.

  • Accounts Management: Assist with accounts payable, accounts receivable and GST requirements, liaising with the external accountant as required.

  • Triage of Referrals: Review and prioritise incoming patient referrals across three specialists’ caseloads.

  • Professional Relationships: Build and maintain strong relationships with hospitals, allied health providers and other healthcare professionals.

  • Reception & General Administration: Provide reception and phone support, stock ordering and other general administrative duties as required.

Skills & Experience

  • Previous experience within a medical or healthcare environment is desirable, although training will be provided for the right person.

  • Strong organisational and time management skills, with the ability to manage competing priorities independently.

  • Excellent typing and general administrative skills, with experience in invoicing and accounts management.

  • Strong written and verbal communication skills, with the confidence to liaise with patients and a range of healthcare professionals.

  • A proactive, solutions-focused approach with strong attention to detail.

  • The ability to work autonomously, anticipate what is required and provide proactive support across three busy specialists.

  • A professional and personable manner, with the ability to build positive relationships with patients, colleagues and external stakeholders.
